Sales & account teams · Workflow 05

Turn workshop notes into presentation themes, without the attendee list.

Create a short presentation outline from reviewed, grouped workshop observations. Keep the useful objections while leaving individual attendees and account details out of the AI prompt.

The moment this is useful

The task on your desk

You have just run a discovery workshop with a prospective customer. The facilitator’s notes combine attendee names and emails with objections about onboarding, reporting, and procurement. Tomorrow’s presentation needs three clear themes and a proposed next step, not a list of who said what.

Keep the facts the question depends on.

Keep for the research

  • The recurring problems, desired outcomes, and unanswered questions.
  • Broad functions such as operations or procurement, where they are useful and not identifying.
  • Agreed next steps and limitations on what the workshop evidence supports.

Remove or replace

  • Attendee names, email addresses, calendar links, and CRM record URLs.
  • Prospect identities, confidential budgets, buying dates, and internal project names.
  • Verbatim personal comments or distinctive job titles that could identify a participant.

A worked prompt example

Fictional details · Edited by hand after review

Before review

Workshop with Harbor Labs. Sam Ortiz (sam@example.com), the sole Berlin implementation lead, said onboarding takes too many handoffs. Alex Reed in procurement asked for clearer approval stages. Sam’s exact quote: ‘Project Falcon is already late.’ Build slides for the follow-up.

Reviewed prompt

Prepare a five-slide follow-up outline from these grouped discovery-workshop notes. Theme 1: onboarding involves too many handoffs. Theme 2: procurement needs clearer approval stages. Cover the current problem, the two themes, a proposed validation workshop, and open questions. Do not attribute comments to individuals, invent attendee counts, or imply that these observations represent a market-wide survey.

Use this workflow

  1. Start with relevant workshop notes rather than exporting the full attendee list or CRM record.
  2. Detect locally, review the highlights, and redact names and contact details.
  3. Manually group observations and remove account-specific details, distinctive titles, and unnecessary quotes.
  4. Review the prompt, generate the outline in your approved AI tool, and check every slide against the notes.

What you should have at the end

A presentation outline based on actual workshop themes, with any authorised customer-specific details added later in your presentation tool.

Redaction does not make a handful of workshop comments representative research or permit sharing customer material outside agreed boundaries.

Questions for this workflow

Can I keep participant job titles?

Use broad functions only when helpful. A distinctive title, location, and company combination may identify one person even without a name. Grouping observations often avoids needing attribution at all.

Does the tool redact an attendee spreadsheet or slide deck?

It reviews pasted text. It does not edit spreadsheet files, speaker notes, slides, or their metadata. Copy only the relevant notes and separately review the final deck before sharing it.

Keep the context. Review the details.

Paste into the local redactor, review each detection, choose what to keep, and check the result before sharing it with your approved AI tool. Names are only part of the review: inspect confidential wording and identifying context too.

Free, no account. Initial model download: about 1.1 GB. Requires WebGPU and several GB of free memory. Detection focuses on English and can miss details. The examples here include manual editing; the tool does not automatically rewrite or summarise your text.
